Refund policy

Thank you for choosing DentisMate. We want you to be satisfied with our software and support. If you are not completely satisfied with a paid purchase, this policy explains how refunds and cancellations work.

Subscription plans

DentisMate is offered as a cloud subscription (monthly or annual billing). You may cancel renewal at any time from your workspace billing settings; cancellation stops future charges via our payment partner PayHere but does not automatically refund amounts already paid for the current billing period unless eligible below.

Refund eligibility

We may approve a refund to your original payment method when all of the following apply:

  • You request a refund within 14 days of the charge you are disputing.
  • It is your first paid subscription charge for that practice, or we confirm a billing error on our side (for example duplicate charge or incorrect plan amount).
  • You have not materially used paid features beyond reasonable trial exploration (we may review account activity).

Refunds are granted at our discretion when the conditions above are not met, except where applicable consumer law requires otherwise.

SMS and add-on purchases

Prepaid SMS credit packs and other one-time add-ons are generally non-refundable once credits have been delivered to your account or any portion has been used. Unused packs requested within 7 days of purchase may be considered for a partial refund if no messages were sent from that pack.

Non-refundable items

The following are not eligible for refund except where required by law:

  • Subscription periods that have already ended.
  • Consumed or partially used SMS credits.
  • Charges after you have cancelled but before the cancellation took effect at the payment provider.
  • Third-party fees, taxes, or bank charges outside our control.

How to request a refund

Email us through contact us or call +94 76 098 4728 with your clinic name, billing email, charge date, and reason for the request. We will confirm receipt and respond with approval or denial and next steps.

Processing time

Approved refunds are initiated within 10 business days. Depending on your bank or card issuer, it may take additional time for the amount to appear on your statement. Refunds are processed through PayHere to the original payment method used for the charge.

Cancellations

Cancelling your subscription prevents future renewal charges. Access typically continues until the end of the paid period already in force. Cancelling is not the same as receiving a refund for the current period; see the eligibility section above.
